User Texts¶
PolicyClue ships a set of ready-to-use warning texts that the browser extension and Outlook add-in show to users. The User Texts page lets you override any of them per language — useful for pointing users to your own data-protection officer, matching your internal terminology, or dropping into your company's tone of voice.
Where to find it:
- Open the admin portal and go to Administration → User Texts.
What you can customize¶
The page groups the editable texts by the PolicyClue module they belong to. Only modules your tenant has subscribed to appear; the rest stay hidden so you don't see options that would have no effect.
- Security — Anti-Phishing block and warning screens (title, body, alert, action, proceed); Download Guard (blocked/warning title and body, Allow / Cancel buttons).
- Data Loss Prevention — DLP alerts (title, masked-hit, unmasked-hit), block messages (site and file), and action buttons (Appeal / Ignore / Override).
- Governance — the transparency badge shown on pages where input recording is active.
- Awareness — the buttons users click during a training: Next deck, Next question, Start quiz, Submit answer, and the "I acknowledge" button on the last slide.
- Breach & Attack Simulation — positive-feedback body shown when a user correctly reports a simulated phishing email (with and without the simulation name).
Editing¶
Each editable text has four language rows: Deutsch, English, Français, Italiano. On every row you see the PolicyClue default on the left and your override on the right — so you can compare at a glance instead of pop-in placeholders. A blue "Modified" pill appears on any key you've customised.
Per language row you get two shortcuts:
- Copy default — pre-fills your override with the PolicyClue text so you can tweak it instead of retyping.
- Reset — clears your override so the language falls back to the default.
A sticky Save bar at the bottom of the page shows how many unsaved changes are pending. Click Save to apply everything at once; Revert to Saved discards unsaved edits and re-reads the stored values.
When users see the changes¶
The next site visit that the browser extension makes, or the next mail the Outlook add-in inspects, picks up the resolved wording. No user needs to reload the extension or the add-in.
Each user gets the wording for their browser language — a user with an English browser sees the English text, a German user sees the German text. If you did not provide a translation for a user's language, PolicyClue falls back to the English default, then to any language you did provide.
